#2. Information on JpGU Meeting 2021 [IMPORTANT]

(1) Please check the program

The Meeting Program is available from below.

All the presenters are requested to confirm your own presentation date
(time and room) in the acceptance letter and the Meeting Program.

* Abstracts PDF will be released on May 21 Friday.

(2) Registration for Participation

Please register for the meeting in order to participate in and join the
Meeting.
For the Meeting 2021, because of the different functional settings
of the meeting site (Confit) for different categories of participants,
we ask in particular, all the PRESENTERs to register earlier.
We kindly ask for your understanding and cooperation.

Registration period for participation April 5 (Mon)-

– Deadline for presenters registration:
April 16 (Fri) 23:59

– Deadline for all participants (without presentations) registration:
May 19 (Wed) 23:59

If you have registered by May 19, you can login from May 21.
The login screen will not be displayed until May 21 even if you
register earlier.
 After May 20, you will be able to log in from 15:00 on the day after
registration.
 Please note that the registration will not be reflected immediately.
 Registration for the Meeting is open until June 5 (Sat) 23:59.

* Submission fee and registration fee are different. Please note that
submission acceptance is separate from participation in the Meeting.

* All the presenters who have registered by 4/16 will receive information
on how to upload e-posters (for poster presenters) and on-demand movies
(oral or posters presenters) on 4/20.

* Please note that once the registration fee has been paid, it cannot be
cancelled.

Attending only the Public (open to general public) sessions is free of
charge. Registration for Public Sessions should be made from a separate
system. Details will be announced later on our meeting website.

Undergraduate students and below may attend all the sessions with no
fees (It is required, however to register and upload your student ID.
The deadline for undergrads and below: May 19 (Wed) 23:59).

(3) Guide for Presentations

For the Meeting 2021, we have devised a variety of ways to provide
participants with a sense of face-to-face and excitement similar
to that of an on-site meeting.

Oral presentations: Live talks using Zoom. Also, each Zoom channel will
employ Breakout rooms. Please make use of them if you wish to extend
your discussion or individually ask questions or give comments.
Additionally, the presenters can use the “presenters’ space” in the
Meeting Website (Confit) to upload on-demand movies and additional
materials(PDF, JPEG, JPG, PNG, GIF formats). Also “comments” function
is available for communication with the viewers.

* Presenters are asked to confirm the deadlines and rules for uploading
materials.

Poster Presentations: Uploaded poster presentation materials can be
viewed on the meeting website (Confit) at any time starting on
May 27 and during the meeting period.
During the posters core time, we are planning to have a live session
using the Breakout room of Zoom for the first time at JpGU. Each poster
presentation will be assigned a different Breakout room. We aim to
set up flash talks before Breakouts and in the breakout rooms, there
will be a place for live (face to face) discussion between the poster
presenters and participants.

* The Comment function can be used anytime besides the core time.
* The presentation materials that can be uploaded are 3 types of files;
e-poster (recommended), on-demand movies, or additional materials
(PDF, JPEG, JPG, PNG, GIF formats). Any one of these types or their
combinations constitute each poster presentation material.

* Presenters are asked to confirm the deadlines and rules for uploading
materials.

In addition to the above, we plan to provide virtual spaces for breaks
where participants can interact with each other outside of the session
time. Please use them as you like.

(4) Cancelling your presentation

If you become unable to give your scheduled presentation due to
unavoidable circumstances, please inform the convener of your situation
using the contact form.

The contact form will open in mid-April, so please wait for a while.
Please note that we will not be able to respond to direct e-mails to
the Secretariat.
The details of the contact form will be announced in the e-mail of the
meeting NEWS & INFO, when it becomes available.

World renowned scientists will present a series of Special Lectures in
Earth and planetary sciences for students and early-career researchers
across disciplines during lunch breaks (12:20-13:40) of the Meeting.
