Public Announcement of the Election of Candidates for Directors

The election of candidates for JpGU directors will be held following the schedules as outlined below. All new JpGU representatives with term of office from April 2016 to March 2018 have both the right to vote by mail and to run for election. After this election, Nominating Committee for Executive Officers will deliberate on the best-qualified candidates for JpGU directors, taking the results of vote and candidates’ specialties and affiliations into consideration. A list of the best-qualified candidates for new directors will be referred to the general meeting of JpGU representatives in May 2016, at which the new directors will receive final approval. The new directors are expected to take their initiatives to manage JpGU during their term of office from June 2016 to May 2018. We sincerely hope that all new JpGU representatives will take an active role in this election.

Directors Election Operating Procedure

1.Voters
All JpGU representatives active at the beginning of the directors’ term of office in June 2016 are eligible to vote.
 
2. Candidates
All JpGU representatives active at the beginning of the directors’ term of office in June 2016 are eligible to become a candidate for JpGU Director.
 
3. Term of office
The term of office of the new directors will be 2 years, beginning June, 2016.
 
4. Becoming a candidate
All JpGU representatives active at the beginning of the directors’ term of office in June 2016 can become a candidate in this election by submitting a completed “Candidacy Notification Form” during the period of candidacy registration. Any JpGU representatives may also become a candidate for director by recommendation from two or more representatives. In the latter case, the recommenders should submit completed “Candidacy Recommendation Form” and the recommended representative should submit a completed “Candidacy Consent Form” to the Election Administration Committee during the period of candidacy registration.

5. Submission of Candidacy Form

Please be sure to complete submission by the due date. (January 8, 2016, JST)

Submission is to be send by email to office(at)jpgu.org /senkan(at)jpgu.org attached with “Candidacy Forms” below.

In case of recommendation, “Recommendation Form” from the recommender and “Consent letter for

Recommendation” are to be submitted.

6.Time schedule of Election
Monday 14 December, 2015: Official public announcement of the election

Monday 21 December, 2015: Declaration of candidacy registration period begins
Friday 8 January, 2016: Declaration of candidacy registration period concludes
Friday 29 January, 2016: Casting of ballots begins
Monday 15 February, 2016: Casting of ballots concludes
By the end of February, 2016: Ballot counting and reporting of results to Nominating Committee for Executive Officers

7. How to vote

Voters can vote to 15 candidates or less from the list of candidates by mail. A voting paper will be sent to voters by January 21st 2016.
