・Flash Talks by poster presenters in the oral session will not be held.
・On-site poster core time (PM3) will be extended by 30 minutes.
・Anyone who has a JpGU ID can submit one or more abstracts for presentation at JpGU 2025. See JpGU ID Types & How to obtain a JpGU ID for details.
・To be approved as formally presented, the presenter must register for the meeting with the same JpGU ID it was used to submit an abstract in order to make your oral presentation if oral format is assigned, or upload presentation materials for poster presentations by accessing the meeting participation portal "Confit." See Prerequisite for Approval as a Formal Presentation for details.
・Oral presentations must be given using the PCs provided at the site, but presenters may also use their own PC if it meets the requirements of the organizer. (See HERE for details.)
Orals and posters are the presentations to be given at JpGU 2025.
All poster presentations are requested to be posted online in the Meeting Participation Site "Confit".
・【Principle】 Zoom will be used to live broadcast the on-site oral presentation sessions. For oral presentations, presentations can be made on- site or online via Zoom webcast to allow for presentations and participations in both ways.
・ Oral sessions are held in AM1 (9:00-10:30), AM2(10:45-12:15), PM1(13:45-15:15), PM2(15:30-17:00) time slot.
・ In general, the duration is fixed at 15 minutes/talk including QA, discussion time and switching time.
* Except for invited talks.
・【Optional】 "On-demand videos" and "additional materials" can be uploaded separately regardless of your presentation methods, oral presentation on-site or online. Please see HERE for detailed instructions.
・ Separate from the presentation materials mentioned above, oral presentations are, in principle, to be given using PowerPoint or other presentation slides prepared by the presenters themselves.
・【Optional】 Presentation materials such as pre-recorded videos may be played during the session (regardless of the player or the method of playback). It is recommended that such video recording be made and uploaded to the Confit as an "On-demand video" or "additional material." By doing so, the chairperson can select the relevant material during the session and play/stream the video, without extra work to collect files from the presenter.
・ Room allotment will be announced in late March.
・All on-site presenters are required to register for the meeting in advance and make sure that they succeed in logging in to Confit before coming to the venue.
・Presenters are requested to use the PCs provided at each presentation room for their presentations. Please bring your presentation file (pptx or pdf) on a USB memory stick. However, if you meet the requirements, you may use your own PC for your presentation. To do so, your PC must be able to connect to the HDMI port. Even if you present on your own PC, it is recommended that you bring your presentation file on a USB in case of any connection problems etc.
・Zoom is to be used as the online platform. The Zoom link will be provided on the timetable on the Confit.
*Meeting registration is required to log in to Confit on and after 16 May.
・【Required】 Contributors must upload poster materials in their own presentation space on the Confit. E-poster, On-demand video, and additional material can be uploaded. One or more of these will be combined to form the poster presentation material. However, please note that if you upload only additional materials, we may not be able to issue a certificate of presentation. It is recommended that you upload an e-poster as much as possible. Please see HERE for detailed instructions.
・We will provide poster boards at the on-site venue for all poster presenters regardless of whether they are presenting (either online and in-person.)
・All on-site presenters are required to register in advance before coming to the venue.
・We will provide poster boards at the on-site venue for all poster presenters.
There is no need to send us a request in advance.
The size of the poster board is 180 cm (width) by 90 cm (height) in horizontal view.
The poster size, number of sheets, etc. is all up to the presenters as long as it fits the board.

*There is no poster printing service desk on the venue.
・The poster venue can be used all day even outside the core time (PM3).
・For safety reasons, please refrain from setting up desks or chairs in front of the poster boards. However, hand-held tools such as tablets can be used for your presentation.
*Please note that we provide a chair for those who may need it due to physical reasons. If you need such assistance, please contact JpGU Office in advance so that we can prepare one for you. If you do not notify us in advance, we may remove the chairs if we see them at the venue.
・Presenters are requested to upload their presentation materials such as e-posters to Confit.
*Registration is required to upload e-posters, etc.
・There will be no online poster session at JpGU 2025. Poster presenters and participants who participate online are encouraged to use the comment function of Confit for question and answer and interaction. *Registration is required to log in to Confit and use the comment function.
・ We will provide a poster posting service for those who cannot attend on-site but wish their posters to be posted at the on-site venue. Please see HERE for details.

・Upload each of your slides as a single file. 100 slides can be uploaded. The first page of slides will be displayed in the presentation space in Confit, and subsequent slides can be viewed in order.
*If it is known in advance that the presenter will not be able to speak during the oral session either on-site or online, it is recommended that a prerecorded video be created and posted as an on-demand video (to be played by the chairperson or others during the session).
*Oral presenters are requested to make oral presentations using the presentation slides prepared by the presenters themselves, but presentations using the on-demand videos and additional presentation materials uploaded above are also acceptable.
・ The contributor (presenter) must have paid the meeting registration fee.
・ The presenter must make a live presentation during the oral session. Presentation materials such as pre-recorded videos may be played and webcast during the session (regardless of the player or the method of playback). If you wish to present your work using the pre-recorded materials, please notify the session conveners in advance.
・ In principle, the presenter must be the contributor, and the presentation is considered to be made if it is given live or the pre-recorded video appearance by the contributor himself/herself. However, in case of unavoidable circumstances, the original presenter can designate a substitute presenter from one of the co-authors to give a presentation. The presentations are then considered to be made by the designated substitute.
・ Please note that if you are not able to present at all during a session due to network problems, etc, your presentation will not be considered as formally presented. Please check your internet connection in advance.
* In case the presenter will not be able to give a presentation, it is recommended that the presenter creates a pre-recorded video and upload it on the meeting participation portal "Confit" as an "on-demand video" or "additional presentation material". By doing so, the chairperson can browse the relevant page during the session and play/stream the video, without extra work to collect files from the presenter.
・ The contributor (presenter) must have paid the meeting registration fee.
・ Contributors must upload poster materials in their own presentation space on the meeting participation portal "Confit".
・ Poster presentation materials should be in the form of an e-poster or on-demand video. If there are unavoidable circumstances such as the registration deadline for presenters has passed, you may upload your poster as "Additional Presentation Materials", but do not delete the additional presentation materials after the poster presentation.
・ In principle, the presenter must be the contributor, and the presentation is considered to be made if it is given by the contributor oneself. However, in case of unavoidable circumstances, the original presenter can designate a substitute presenter from one of the co-authors to give a presentation. The presentations are then considered to be made by the designated substitute.
・ Please note that only presenting a poster in the core time on site is not sufficient to be formally approved as presented. At least one poster presentation material must be uploaded on the meeting participation portal "Confit".
*However, since poster presentations reviews will be based on the on-site poster presentation for OSPA,
the students who have entered OSPA are required to give an on-site poster presentation.
・The person who will post your poster on behalf of you (your proxy) should be a registered attendee. Free entry for only to post a poster is not allowed.
・Please make sure you inform your proxy of your presentation ID and the location of the poster board correctly. It may cause difficulties when posting without this information.
・Please post it at the address specified by the presenter. If a poster is posted in a different location and/or on a different day than the original location, it may be removed by the headquarters staff.
・Please also remove the poster after the core time is over. Any posters left after the core time will be discarded.
・Poster cases, etc. used when you brought your poster should also be collected by your proxy. Poster cases left after the core time will be discarded.
・Posters sent to Makuhari Messe must be paid for by the presenter. Posters sent by cash on delivery will not be accepted.
・To prevent shipping and receiving problems and to ensure smooth poster display, posters must be shipped by Yamato Transport. Posters shipped by other carriers may not be delivered, and your poster may not be posted in time for the start of the on-site poster core time.
・Poster cases used for shipping cannot be kept or returned. We will dispose of all the poster cases.
・Please specify the desired delivery date and time in the morning of the day before your presentation date. We will not be able to respond to any problems if the date and time are incorrectly specified. If your poster presentation is on the first day, Sunday, 25 May, please specify the delivery date and time as 14:00-16:00 on Saturday, 24 May, the day before your presentation date.
・Posters cannot be returned and will be discarded after the core time is over.
・Please indicate on your poster that you are participating online. Please make sure that your poster is made in one sheet. If multiple posters are received, only one poster with the presenter's name on it will be displayed. Poster size is not specified, but A1 or A0 is recommended. The poster board is 90 cm in height and 180 cm in width.
・Please be sure to indicate the following five items in the "Item Name" column on the shipping slip.

(b) Presentation ID (e.g. AAA01-P00. Poster ID (e.g. AAA01-P00, please be sure to include the poster number)
(c) Poster location address (e.g. A-01)
(d) Date of presentation
