Registration & Participation
 

・As the meeting is a hybrid event with on-site venue at Makuhari Messe INternational Convention Complex, the registration fee will be the same for both onsite and online registration. (There is no one-day ticket.)
・See HERE for details on the registration fee in case the meeting will move to a fully online meeting.
・We will use "Confit" as the online meeting participation portal site, however login authentication will be required from May 13. In addition to this, the meeting registration is required to be completed by at least one day before the visit to enter the venue. We strongly recommend that you complete your meeting registration well ahead of the deadline. Please note that the early registration deadline will be set for presenters to upload their presentation materials such as e-posters to Confit.

Meeting registration

Registration is required to attend JpGU 2022.
There is no distinction between on-site participation and online participation for the registration procedure and registration fee.

Timeline for JpGU Meeting 2022 Registration

April 12 (Tue) 23:59 Presenters registration deadline
Please complete your meeting registration by this date irrespective of your presentation format, oral or poster, if you are a presenter.
This earlier deadline than regular registration is to allow for the process time to upload your presentation materials.
Presenters are requested to respect this deadline.
May 12 (Thu) 23:59 Regular registration deadline
If you meet this deadline for registration, you will be able to log in to Confit system from May 13 when all the abstracts will be released for viewing.
May 13 (Fri)-June 2 (Sat) 23:59 Open period for registration
Once the above regular registration deadline passes, your login to Confit system becomes available on the next day after 09:00 of your registration date. Please do not forget to have your registration completed by one day before you arrive at the venue for in-person attendance.

Registration Period

The start date for registration will be announced as soon as it is ready, but we will set the early registration deadline for presenters to prepare the system(Confit) to upload their presentation materials such as e-posters.

Please note that the registration fee is not refundable once the payment is processed.

Please note that your ID you used for the meeting program (as convener or for abstract submission) cannot be changed (i.e. from regular member ID to meeting (participation) ID, or from meeting ID to regular member ID or AGU, AOGS, EGU member ID).
Please use the same ID for registration with the one you used for meeting program. If you use another ID for registration, you will not be able to work on your presentation (including your presentation itself).

How to Register for the Meeting

Registration should be made from the JpGU members site.

Log in with your JpGU credentials > open the "JpGU Meeting" tab on the left side menu > click "Meeting Registration" and proceed.

*2022 annual due (only JpGU Members) payment is required before making a meeting registration.
If the annual due of 2021 and/or before is not settled yet, please process it first.

If you are presenting only in a Public Session

(i.e. you have no other presentations in sessions other than in the Public Session, nor you do not plan to attend the meeting on dates other that the Public Day (Sundays)) Please read the instructions we send to those of you in this category individually. Please refer to the note on participation free of charge if you are attending only Public Sessions.

How to Attend

Online Participation

If you are attending online, the Meeting portal site (Confit) is the platform for your participation.
Confit will be launched on March 24 (tentative), and login authentication will be required from May 13 to visit the Meeting portal site.
*Your meeting registration does not immediately enable you to connect to the meeting portal site for log in. It will take one day at the most for you to be able to log in if you register for the meeting on and after May 13. Please note this time gap.
 

On-site Participation

If you are attending on site, please make sure to complete your registration and bring the e-ticket issued by at least one day before your visit.
*In order to avoid congestion at the registration desk and to reduce costs, we regretfully cannot accept registration at the site.

How to Join JpGU/ Obtain JpGU ID

JpGU ID is required to submit abstracts and/ or register for the meeting.
JpGU ID can be obtained at JpGU members site below.

*JpGU ID type is not changeable once you propose a session or submit an abstract using it.

Free Participation on the Open Day to Public

Free participation is offered to attend the oral and poster presentations in Public Sessions on the "Public Day" on Sundays, May 22 and 29.

Public participation

You can attend oral and poster presentations of Public Sessions on public days (5/22 and 5/29). The registration date for public participation is April 25 (plan).
In this category of public participation, please refrain from entering oral session rooms other than the Public Sessions.

The presenters for high school students session are requested to follow the instructions from the applicants (teachers, etc.).
If you are not presenting in the high school students session, but wish to attend, please register in the Public category.
Up to undergraduate students can attend the whole meeting free of charge by acquiring a JpGU ID for free and making a meeting registration.


About Payment

After the credit card payment is settled, individuals may generate a receipt from their members page and use it to claim the reimbursement for each expense from your own institution.
Please note that the receipt issued on the system is the official receipt.
JpGU does not send the original copies by mail.

Cancellation Policy

Membership annual dues, abstract submission fee and registration fee
These are all NON-REFUNDABLE processing fees.
*Abstract fee is not refundable irrespective of the approval and/or withdrawal once paid.
*See HERE for details on the meeting registration fee if the meeting will move to a fully online format.

Payment Claims

If you experience any difficulties with payments by credit card, please contact us using the Payment Support Form BEFORE the deadline of each payment.
Notes:
Please note that we do not accept contacts by emails.
Please contact us as soon as possible if you experience any technical issues.
Late payments are accepted if the trouble is informed before the deadline.

International attendees are advised to be careful with the time difference between Japan time and their local time.

Possible Cause of Trouble

Please check the most common causes listed below before sending in a question.
【Technical issues】
-Error in the credit card number or telephone number input : the input may contain "-(hyphens)" or a non-numeric characters. Any other symbols such as +(plus) etc. should not be used as well.

-Invisible input: please make sure that there is no space in the input.
(Correct) 0000 / (Incorrect) □0000,0000□ *□ indicates space

JpGU is only capable of supporting technical troubles such as above.
If an error occurs after all the information is entered correctly, the credit card owner is advised to contact the credit card company.

In case of payment issues, please contact us using the Payment Support Form BEFORE the deadline of the payment.
Contacts by emails are not accepted.
If JpGU does not receive any contact by the payment deadline, the payment will not be processed for any reason.

Alternative to Credit Card Use

Please contact JpGU secretariat office for details.

Receipt

We do not provide printed receipts.
The receipt is downloadable from your JpGU account.

Our system issues receipts of payments only made by credit cards.
(Receipts for bank transfers are not available.)

To download and print out your receipt, log in to My Account Log in with your JpGU ID and password.
Open the "Payment" tab and click "Issue Receipt" button on the left side.

Receipts will open in a pop-up window and be displayed in a PDF file.
Please allow pop-up windows in your browser before you try to open the receipt.

Once the receipt is issued, you will not be able to download the same file again.
"Reissued" sign will be displayed if you download the same receipt more than once.
Please be sure to save the data you downloaded if you'll need them later.
*The bill to name is editable from your account.
*Receipts will be issued per each payment. Please note that the system does not generate summed up receipts.
* Please contact us using the Payment Support Form if you have any inquiries regarding the issue of receipts.
