Room Use for Business Meetings

Outline

You can use rooms in the venue when they are not occupied during the meeting. Applications will be accepted on a first-come, first-served basis and will close once the quota is reached.

Available Equipment

- Tables and chairs in the Room
- Use of the equipment used in the oral sessions (projector, microphone, camera, built-in PC, etc.) and the hybrid operation system (network wiring, etc.)
- Note that the official Zoom for the meeting is not available, so please prepare it yourself if necessary.


Notes and Requests

- If you are holding a hybrid meeting (local + remote), you can use the hybrid operation system stteled in the room. In such cases, please prepare your own Zoom account. For presentations, either use the settled PC in the room or bring your own PC capable of HDMI connection. If using the venue's provided PC (Windows 11, PowerPoint available), please bring your presentation files on a USB drive and load them onto the PC. Additionally, please ensure your Zoom microphone and PC speakers are turned off and speak through the venue microphone, and review other session operation guidelines in manuals, etc.

How to Apply

- Reserved dates, times and venues cannot be booked. Please check the reservation list above to see what is available.
- The application is not confirmed until the comfirmation email is sent by JpGU Office.
- Applications will be accepted on a first-come, first-served basis and will close once the quota is reached.
- We do not accept applications at the event venue.
- Even if you are attending a business meeting, you need to complete the designated meeting registration. Please register in advance, including assistants, guests and others of business meetings.
For attendees joining only the business meeting and who are not researchers in related fields, temporary 'Badge for Business Meetings' will be issued.
The person in charge of registration must apply for these in advance. Individual issuance is not available.
- There will be no on-site registration desk for attendees. The person in charge must distribute the name tags on the day of the event.

- No outside food or beverages may be brought into the venue. For meals within the venue, please make arrangements directly with Makuhari Messe

- For orders from overseas, JpGU will bill the bento cost together with the room usage fee.

Badge for Business Meetings

- Those who will only attend the meeting at the venue without participating in the meeting will be able to enter the venue without registering. Please bring a badge that indicates that you will only attend the business meeting.

[Application Method]
- Only pre-application is available. Please inform us of the number of badges you need by the form below by FRI 15 May.
[How to Pickup the badges]
- On the day of the meeting, the person in charge of the meeting or a related person who is participating in the meeting will pick up the badges at the JpGU headquarters (205) and distribute them.
[Use Method]
- At the entrance area on the first floor of the International Conference Hall, distribute the badges to those who need them (those who will only attend the business meeting) and guide them to the reserved room.
[Notes on the distribution of business meeting badges]
- The security staffs are checking at the presentation area. Those without badges cannot enter the area.
Therefore, please note that the distribution of badges in the meeting room or other areas within the conference venue is not possible.
- There is no reception for meeting participants. Also, JpGU will not distribute or guide badges to individuals.
Therefore, even if those who will only attend the meeting come to the venue without a badge, they will not be able to enter. Please thoroughly distribute badges to those who need them and inform those who are planning to attend.
- The badge can be used for one hour before and after the time of the meeting.
- After using the badge, please return it to the JpGU headquarters (205).


How to make payment

- Please specify the necessary documents and payment method when you apply.

- After the application is confirmed, we will send you the documents.
- After the meeting, please make payment by June 30th.
- Please note that cancellations after confirmation are not possible.
