Joint Session Guidelines

Joint Session with Coordinating Unions (AGU, AOGS and/ or EGU)

Conveners may hold a joint session with coordinating Unions (AGU, AOGS and/ or EGU).

Requirements for Proposals

-All conveners are required JpGU IDs, however, there is no limitation in either on the membership or ID category.

-Session language must be EE to be approved as joint session

Proposal Steps

1. Propose a session from the JpGU online session proposal system.
2. Select the coordinating Union from the pulldown when you are asked if you will apply to hold a joint session. Please note that this is not the formal application.
3. Submit the detailed information from the designated form attached in the submission system.

Applications are accepted by October 12, 2017.

Proposal Items

The questions below are asked when you apply for holding a Joint Session.
DEADLINE: October 12 at 5:00pm (JST)
*This information will be sent to the representatives of the coordinating Unions for approval.
-Contact person (not necessary be a convener but who will communicate with the representatives of coordinating Unions)
- Reason to be joint session

Approval

All submitted information is reviewed by the coordinating Unions for approval.
Sessions not approved as Joint Session will be considered as regular scientific sessions.
Additional convener may be designated by the coordinating Unions. In this case, the additional conveners will not affect the original number of conveners.

Benefits for Joint Sessions

-Not only JpGU but the coordinating Union will promote the session to their members.
-The session is introduced as a "Joint Session" with your coordinating Union.

*Please note that the benefits for joint sessions are different to that of 2016 joint session's.

Important Notes

-Two processes are required for the application. Please make sure to complete both of them before the deadline.
-JpGU does not provide financial supports to joint sessions.
-There are no benefits on the number of assigned time slots and scheduling.

Joint Session with Co-Sponsoring Societies

Conveners may hold a joint session with co-sponsoring societies.

Requirements for Proposals

-There are no regulations in JpGU. Please follow the rule of each society.

Proposal Steps

1. Propose a session from the JpGU online session proposal system.
2. Contact directly the representative of each society before the deadline.
Joint session with co-sponsoring societies CANNOT be requested from the proposal system.
All communication regarding joint sessions with co-sponsoring societies must be done directly between the conveners and the representatives of each society.

DEADLINE: October 12 at 5:00pm JST

Approval

-The representatives of each society will review and approve/reject the request from the conveners.
- The list of approved joint sessions will be submitted to JpGU from each society.
JpGU will only consider the listed sessions from the co-sponsoring society as joint sessions.

Benefits for Joint Sessions

-The session is introduced as a "Joint Session" with your co-sponsoring society.
