Request for the press to cover the JpGU Meeting 2023

We would like to ask all members of the press who cover the JpGU Meeting 2023 to observe the following rules and regulations.
Please be aware that you may be asked to leave the venue if you do not abide by these rules.

The following persons are considered as members of the press.
If you do not fall into any of the following categories and wish to attend, please attend as a general participant.
- Journalists from TV, radio, newspapers, and other media, as well as reporters from magazines, etc.
- Those who have specific plans to publish articles or other materials based on the results of their coverage of the conference (the JpGU Secretariat will make a decision after receiving your coverage plan and a list of your past coverage records in writing).


 

Pre-registration

Pre-registration is required to cover the JpGU Meeting 2023, regardless of whether you wish to cover the Meeting online or on-site.
Please fill out the form at the bottom of this page to register.
An e-ticket for admission to the Makuhari Messe site and an ID for logging in to the online system (Confit) will be issued to those who have registered.
Please register at least one day before the date you wish to attend.

The pre-registration procedure is the same for both on-site and online-only attendees. If more than one person from the same company wishes to attend, please register for each person individually. No registration fee will be charged to those who will cover the event.
Members of the press are allowed to enter all the oral and poster presentation rooms and the exhibition area, both online and on-site, but separate registration is required for seminars and other events that require individual pre-registration.
Detailed information on how to enter the venue will be sent to those who have pre-registered.

 

About coverage during the JpGU Meeting 2023

The oral presentations and poster core times of the JpGU Meeting 2023 will be held in a hybrid format of online using Zoom and on-site sessions.

- Please indicate your name and affiliation (if you are a freelance journalist, please indicate that you are a journalist by writing "press" or "media") when you cover online.
- If you are covering the event on-site, please wear an armband or other means to identify yourself as press when attending the presentations.
- Photographing or recording of presentations is prohibited for both online and on-site presentations without permission. If necessary, please obtain prior consent of the presenter at least one day before the coverage. You may use the private message function of Confit to communicate with the presenter. If you wish to take video or record the session on site, please obtain the approval of the chairperson before the session starts. If the chairperson is not available at the venue, please contact the staff in charge of the venue.
- Please refrain from talking to or interviewing presenters on the Zoom channel of the meeting, or any other activities that may disturb the meeting participants or interfere with the operation of the meeting. Please contact the presenters directly by e-mail or other means. The JpGU Secretariat will not act as an intermediary for interviews.
- All presentation slides and posters used at the meeting are copyrighted works. Unauthorized filming, reprinting, broadcasting, or other secondary use is not permitted. Please make sure to obtain permission from the person to be interviewed individually.
- Please confirm with the interviewee that if the results of the interview will be made public. - Please refrain from conducting interviews in the online break area set up for general participants to interact with each other.
- Please be respectful to protect the privacy of the general meeting participants. - If the JpGU Secretariat gives you special instructions, please follow them regardless of the contents of this rule.

 

Publication of Media Coverage of JpGU Meeting 2023

When your coverage of the JpGU Meeting is made public, please inform the JpGU Secretariat Media Relations (press@jpgu.org) of the publication date and media.
Please also send us a copy of the article or broadcast as an e-mail attachment after the event.

The JpGU Secretariat will not be held responsible for any matters arising from the publication of the content of the interview, so please confirm with the interviewee beforehand.

 

Post-Meeting Questionnaire

 JpGU will conduct a questionnaire after the meeting to facilitate media coverage.
We appreciate your cooperation in answering the questionnaire.
