Q. If we are not required to present vaccination certificates, am I correct in assuming that we can participate in the meeting on site even if we have not been vaccinated?
About Session Organization
Q. I understand that the session convener decides the time and order of flash talks for each presenter. How then does the convener instruct the presenter? Also, how will the general participants be notified about who will be presenting the flash talk in that slot, etc.?
Q. I understand that 15 minutes of the 90 minutes of the oral session must be allocated for flash talks, but I don't think it is mandatory to give a flash talk depending on the number of presentations and the number of panels. In that case, can the convener make the decision on whether or not to give a flash talk?
Q. Please let me know the number of abstract submissions required for the number of oral presentation slots.

A. That is correct, but from the viewpoint of preventing the spread of infection, we recommend that all on-site participants be vaccinated.
About Session Organization
Q. I understand that the session convener decides the time and order of flash talks for each presenter. How then does the convener instruct the presenter? Also, how will the general participants be notified about who will be presenting the flash talk in that slot, etc.?
A. As with the meeting 2022, we plan to create a mailing list of conveners, chairpersons, and presenters for each session at the meeting 2023. Please use this list as a tool for communication from the convener to the chairpersons and presenters, or from presenters to the convener for questions. As for communication from conveners to general participants, we are planning to create a spreadsheet on the meeting website that session conveners can fill in. Please use this spreadsheet to notify the list of presenters of Flash Talks, etc. In addition, there will be a "flagging" function in Confit (matching flag). The flag feature is available to all participants. By using this function, you can let all participants know when you will be on-site, online, etc. We have received some requests from the post-meeting survey that presenters would like to know when they will be on site. We hope that all participants will take advantage of the "Flag" function of Confit.
Q. A. We ask for your understanding that a 15-minute Flash Talk slot to be allocated for each session slot. For the meeting 2023, online poster presentations will be held at the same time as oral presentations and will not be seen by participants unless they have direct access to them. Therefore, we felt it was important to give poster presenters the opportunity to advertise their presentations during the 15-minute Flash Talk slot of the oral presentations. The second reason is to ensure fairness among sessions. We hope that the conveners will understand these points, and we would appreciate it if you would arrange the Flash Talks to the presenters. On the other hand, for special sessions such as the Union Session, where there are no poster presentations, there is no need for a Flash Talk slot.
Q. Please let me know the number of abstract submissions required for the number of oral presentation slots.
A. Please go to the "Convener" link on the left side of the meeting website and refer to the "Table of Allocation of Slots". There you will find the formula for calculating the number of slots. The number of slots this year is allocated based on the actual number of most recent presentations. If the number of submissions this year is significantly higher than the most recent, the number of slots this year may be increased, but this cannot be guaranteed due to the relationship with other slot allocations.
