As previously announced, the Japan Geoscience Union Meeting 2022 will be held in a hybrid format, mixing on-site (at Makuhari Messe in Chiba) and online (although it is possible that the Meeting may shift to a fully online format, depending on future circumstances). Here, we would like to inform you of the registration procedures, especially for presenters, at the start of the meeting registration. Please refer to the meeting website for details.
How to register for the meeting:
We will start accepting registrations from March 24, 2022. Please follow the guide on
"Registration & Participation" page on our
meeting website, noting the following points.
- You need to have a valid JpGU ID. If you do not have one, please create your own JpGU ID before registration.
- Once you have used your ID for session proposals (convener registration) or abstract submissions, you cannot change the ID type (from a regular member ID to a meeting ID, or from a meeting ID to a regular member ID or AGU, AOGS, or EGU member ID). Please use the ID you already possess also for your registration.
- Please note that the registration deadline for presenters is April 12. This will allow time for the system to prepare the presentation materials to be uploaded by the presenters. Please read the notes in the latter half of this document.
- All the participants other than the presenters (except those attending only the Public Sessions) are requested to register by May 12. Then, you will be able to log in to the Meeting portal site (Confit) from May 13. You can still register for the meeting after May 13, including during the meeting, but please note that you will be able to log in to Confit after 9:00 a.m. on the day following your registration. Especially for on-site participants, please be sure to complete the meeting registration by the day before your attendance and have your e-ticket ready when you arrive at the venue. In order to avoid congestion at the registration desk and to reduce costs, we regretfully cannot accept registration at the site.
- For those who attend only the Public Sessions, please refer to the separate information on how and when to register (registration will open around the end of April). The registration and participation information for the high school students' session can be found here.
- In the event that we have no choice but to shift the meeting to be held completely online, the registration fee will remain the same as before due to the state of preparations and the conference system. Please also note that no refunds will be made.
For the presenters
In addition to the meeting registration deadline of April 12, we would like to ask all the presenters to take notice of a few other requests.
- The deadline for the meeting registration is April 12, regardless of whether your presentation style is oral or poster. If you do not register by this date, you will not be able to upload your presentation materials. Among the presentation materials, e-poster*1 and on-demand video*2 will be available for uploading from April 20. We will email you the link for uploading on April 20.
- Presenters can upload "on-demand videos" (protected videos that cannot be downloaded) regardless of whether they are oral or poster presentations, but due to system restrictions, please inform us in advance if you plan to upload "on-demand videos." Presenters who wish to use on-demand videos are requested to submit the form below. The deadline for application is April 12, the same day as the meeting registration deadline.
Application Form to request the use of on-demand video
Please note that if you do not use the video after submitting the form, a temporary video titled "not yet uploaded" will remain in the presentation space on the Confit website.
Additional tips on presentation materials:
- *1e-poster: If you upload your own image files in JPG, JPEG, or PNG format following our guidance, they will be protected from downloading and copying, and will be posted in each presentation space on the Confit website. Submissions can be replaced by the authors themselves at any time. Images can be in single image format or in slide format (e.g., created in ppt and saved as an image file). The poster may be the same as the poster presented on-site. In the case of slide format, please upload each slide as a separate file, so that the first page of the slide will be displayed first in the presentation space of Confit, and subsequent slides can be viewed in order. Up to 100 files can be uploaded, with a maximum size of 10 MB per file Please pay attention to the capacity, especially when creating a single A0-size sheet.
- *2 on-demand video: If you upload one video file (MP4,MOV,WMV,AVI format) according to the instructions provided, the video itself will be protected from downloading and will be posted in each presentation space on the Confit website. Submissions can be replaced by the authors themselves at any time. This is also a good opportunity to showcase your video as supplementary material for your presentation. If it is known in advance that the presenter will not be able to speak during the oral session either on-site or online, it is recommended that a prerecorded video be created and posted as an on-demand video (to be played back during the session by the chairperson, etc.). On-demand video should be no larger than 250 MB.
- Additional presentation materials: Presenters may post additional materials in each presentation space in Confit. You can upload up to 10 files (PDF, JPEG, JPG, PNG, GIF format) under 10 MB each, and you can also attach a YouTube video link (thumbnail will be displayed).
- Poster presenters are required to upload either an "e-poster" or an "on-demand video" (a requirement for validating acceptance). In case of unavoidable circumstances, uploading of "additional presentation materials" will be accepted, but please upload "e-poster" and/or "on-demand video" as presentation materials as much as possible.
- Oral presenters are requested to prepare slides for their oral presentations and present them at the time of their presentations. “On-demand video” and “additional presentation materials” will also be available for your use.
