Q1-1 How many conveners can be listed as session conveners?
Up to 4 conveners (main convener and 3 co-conveners) are the maximum number allowed.
Q1-2 Is there any way to list more than 5 conveners?
No. The maximum number of conveners is fixed to 4 per session. The only exception to this rule is for newly voluntary merged sessions.

The additional convener exceeding the maximum capacity cannot be accepted and listed as convener, however the main convener may contact JpGU Office to add the person in the communication loop. Main conveners may also add the name of the person in the scope to introduce him/ her as a co-organizer.
Q1-3 What is Joint Session?
"Joint Session" is the session co-sponsored by our Partner Unions (AGU, EGU and AOGS). Joint Session proposals need to be approved by the co-sponsoring Unions to be designated as a Joint Session.

Q1-4 What are the benefits for Joint Sessions?
One of the benefit is that the Partner Unions will promote the Joint sessions to their members.
Another benefit is that the session is defined as a "Joint Session" with the designated Partner Union on the record, Program, on the web and in the program book.

Q1-5 What are my duties as a Joint Session convener?
There is no particular duty for conveners after the session is approved as a Joint Session.
Conveners of Joint Sessions may be requested promotion materials such as pictures of the convener(s), session introduction summary etc., however they are not obligatory.
Q1-6 I'm planning to invite a presenter to my session. Is there any financial support for invited guests?
No. JpGU only provides a travel support for students.
Q1-7 Is there any discount or waiver on fees for presenters residing in Qualifying Low Income or Lower-middle Income Economies?
No. Participants are not qualified based on incomes at JpGU meeting and all individuals must equally pay all fees associated with the attendance and presentation.
Q1-8 Do all conveners need to have a JpGU ID?
Yes. JpGU ID is required to be registered as a session convener including co-conveners, however regardless of the ID type.

Q1-9 I newly acquired a JpGU Member ID to propose a session at JpGU 2019. Why do I have to pay the annual due of 2018 ?
The fiscal year of membership is based on the calendar, from January to December. The annual due is charged depending to the date you created the ID.

Q1-10 Can I list a person who cannot attend the meeting as a co-convener?
All conveners may not necessarily attend the meeting, however at least one convener are expected to attend at the date of the session.
Q1-11 I'm proposing a session at JpGU for the first time. How are the oral slots assigned for newly proposed sessions?
Newly proposed sessions are initially allocated one oral slot, but conveners may request for two slots if expect anticipated number of abstracts (more than 15).
Q1-12 I'm expecting a large number of abstracts for my continuous session from the past years. In this case, can I request for additional oral slots?
Oral slots are assigned based on the number of submissions of the past few years, however conveners may contact the Program Committee for additional slot if necessary.
Q1-13 Can I request a preferred date of my session?
No. We only accepts requests for dates to avoid and the maximum of this request is up to 3 dates.
Q1-14 Is there any way to avoid conflicts with similar sessions to mine?
We cannot guarantee but conveners may indicate up to 3 sessions they wish to avoid the parallel scheduling. Please note that only conflicts of oral sessions will be avoided. Oral and poster core time may be scheduled in the same timing.
Q1-15 I would like to hold a consecutive session with a session related to mine. How can I do that?
Conveners may sent a request for consecutive sessions within the designated period.
Please note that consecutive session request is termed as sessions convened in the consecutive date not slot.
Q1-16 I do not want my session to be broken up in two days or more.
What can I do to avoid it? Sessions less than 3 oral slots shall be scheduled in a day. Sessions with more than 4 slots will be scheduled in two days or more.
If 4-slot session return one slot, they are guaranteed to be scheduled in one day.
Q1-17 What is Daytime Poster Core Time and is it obligatory?
At JpGU, there are two types is core time, the Daytime Poster Core Time and Evening Core Time.
Daytime Core Time is a poster core time held between AM2-PM2.
Convenes of sessions that is allocated less than 2 oral slots can decline the Daytime Poster Core Time.
Evening Core Time of all sessions and Daytime Core Time of sessions with more than 3 slots are obligatory.
