Rules on Submission of Abstract to JPGU Meeting
Version 2.2 dated Nov. 26, 2008

(Personal Registration)
  1. The first author and all coauthors should make personal registration via JPGU Meeting website before submitting an abstract.


  2. A first author should make his/her own personal registration in person in principle, mentioning his/her own contact address that enables direct communication with him/her in person in order that inquiries may be made from the Secretariat as needed. To that effect, no proxy address is accepted.


(Preparation of Abstract)
  1. A paper for presentation (Abstract) should be prepared in accordance with guidance shown at JPGU Meeting website.


(Submission of Abstract)
  1. The first author or speaker should make submit an abstract in person in principle with consent of coauthor(s). In the event of a problem for the first author or speaker to submit an abstract in person e.g. from abroad, Program Committee may request the convener to submit an abstract in place. Otherwise, inquiries are invited to the Secretariat of Meeting. An abstract submitted by anybody else in place without consent of the first author will be rejected in principle.


  2. There is no restriction in number of submissions to a plurality of sessions. However, the first author or a speaker will be allowed to apply for oral presentation once and poster presentation once i.e. twice in total for a same session in principle (an invited speaker's lecture included), except in cases where an academic supervisor submits or makes presentation in place of his/her graduate and undergraduate student about an abstract that the student wrote as the first author or prior permission to do so has been given by Program Committee, etc. However, one same person should preferably refrain from making so many presentations for a same session to respect the fairness in opportunity of presentation.


(Submission fee)
  1. A submitter of an abstract pays a submission fee as otherwise fixed. An invited speaker also pays a submission fee in submission.


(Entry registration)
  1. Meeting Entry Registration is required for anybody going to make oral or poster presentation (invited speaker included) during the JPGU Meeting. To that effect, Meeting Entry Registration Fee should be paid as otherwise fixed.


(Acceptance of abstract)
  1. Program Committee finally decides to accept an abstract, based on an advice of a convener.
    An abstract, however, may not be adopted, as judged inappropriate for presentation, e.g. in the following cases:
    • the contents of the abstract are found to be greatly different from the purports of the meeting and the session.
    • the contents of the abstract are found to be scientifically inappropriate or poorly formatted as an paper for presentation.
    • the contents of the abstract are found to be inappropriate in terms of social ethics.
    • One same person is found to have applied for entry in a same session with a plurality of submissions e.g. for the purpose of assuring an opportunity of presentation or a false application is found to have been made e.g. in the name of quite another person (as a dummy).


  2. The mode of presentation (to be made orally or with poster) is determined in accordance with a time frame of oral presentation proposed by Program Committee and with the contents of the presentation judged by the convener. The abstract may be accepted in a session other than desired by the submitter, due to the convener's judgment.


  3. When an abstract is not accepted, the submitter will be notified of the reason from Program Committee. In this case, the submission fee is returned to the submitter.


  4. If dissatisfied with the reason for non-acceptance, the submitter can demand reexamination of the paper by Program Committee.


(Modification/Cancellation after acceptance)
  1. The first author, speaker or the title of the presentation cannot be modified in principle after acceptance. Inform the Secretariat of Meeting of unavoidable change or correction, if any, as soon as possible.


  2. Inform the Secretariat of Meeting of unavoidable cancellation of presentation, if any, e.g. due to disease, accident, etc. as soon as possible. In the case of cancellation after acceptance, the submission fee will not be returned.


  3. The date or mode of presentation cannot be changed, unless judged necessary by Program Committee and the Convener.


(Time frame for presentation)
  1. Presentation at oral session will have a time frame of 15 minutes per subject in principle (time for questions included).
    However, as required by the session or as judged by the convener, 1 or 2 minutes for an ordinary presentation can be given for presentation of an invited speaker or for general discussion.


Japan Geoscience Union Meeting Rules and Regulations on Copyright
Ver 1.0. Nov. 28, 2008

Article 1. Object
The object of these Rules and Regulations is to set forth treatment of copyrights relating to works issued by Japan Geoscience Union Meeting, the general incorporated association (hereinafter referred to as "Union").


Article 2. Definitions
The definitions of the words used herein shall be as follows:
  1. Copyright(s): It shall have the same meaning with the gcopyrighth set forth in the Copyright Act of Japan and include any and all rights set forth from Articles 21 through 28 of said Act.
  2. Work(s): It means any and all kinds of works issued via the Union, and shall have the same meaning with gwork(s)h set forth in the Copyright Act.
  3. Author: It means a person who creates a work set forth in Copyright Act.


Article 3. Ownership and Assignment of Copyright
  1. A Copyright in and to a Work issued via the Union shall belong to the Union except for any of the followings:
  2. If an Author places a Work on a publication of the Union, he/she shall assign to the Union a reproduction right and a right of public transmission (such as distribution via Internet) and grant to the Union a right of distribution. A proprietary right other than the reproduction right and the right of public transmission, and a moral right shall be reserved to the Author in principle.
  3. If an Author grants to the Union a right to use such as publication of a Work such as photos or illustrations, he/she may request to reserve the Copyright to him/her. Provided, however, that the Author shall indicate his/her name beneath his/her Work.
  4. A Work such as a writing, illustration, or photo for which an Author is not specified in a publication of the Union shall be a corporate Work of the Union, and any and all Copyright shall belong to the Union.
  5. Treatment of a Work not falling under these Rules and Regulations shall be decided upon separate consultation between an Author and the Union.
  6. When it is decided not to place the Work submitted to the Union on its publication or the like, the Union shall return the Work to the Author.


Article 4. Use of Work
  1. If whole or part of the Work is copied or reprinted, fee fixed separately shall be payable upon grant of the Union. Provided, however, that in case of use under any of the following, the grant and the fee shall not be required:
    1. No grant and fee:
      1. A case when a Copyright is limited under Article 30 and subsequent Articles of the Copyright Act.
      2. Use for study or education by the Author by him/herself without commercial gain.
    2. Grant required but no fee:
      1. Use for study or education by other person than the Author in conformity with the objects of the Union without commercial gain.
  2. When whole or part of the Work is transmitted publicly (means publication by Internet. The same shall apply hereinbelow), the fee shall be payable upon grant of the Union. Provided, however, that a person who meets the following conditions shall not be required to obtain the grant or to pay the fee.
    1. No grant and fee:
      1. Public transmission without commercial gain on a website of the Author;
      2. Public transmission without commercial gain on a website for research project relating to the Work; or
      3. Use as a database for performance at an organization to which the Author belongs or use at a library.
  3. When a Work of the Union is used, the source shall be specified.


Article 5. Author's Responsibility and Infringement of Copyright
  1. An Author shall be responsible for a portion of contents of a Work whose Copyright is held by the Union in which he/she involves. If a third party claims infringement of Copyright, defamation or other dispute arises, the Author shall be fully responsible and take a step.
  2. If a third party infringes or is likely to infringe Copyright of a Work of the Union, the Union and the Author shall consult how to take a step and decide it.


Article 6. Exceptional Treatment
When a business activity co-sponsored by the Union and other academic society or association is performed and how to treat Copyright of a submitted article or the like is decided otherwise, said decision shall prevail over these Rules and Regulations.


Article 7. Treatment of Work Already Issued
Works whose Copyrights are held by the Union prior to implementation of these Rules and Regulations shall be subject to these Rules and Regulations unless an Author proposes specifically and the Union judges that the proposal is justifiable.


Annex
  1. Publications issued by the Union shall be as follows:
    • "Japan Geoscience Union Letters"
    • Journals of each Section, and publications by each Committee
    • Abstracts of JPGU Meeting
    • Those which transmitted publicly via website of the Japan Geoscience Union and Japan Geoscience Union Meeting
  2. Amendment of these Rules and Regulations shall be approved by the council.
  3. Implementation rules of these Rules and Regulations shall be established in another document.
  4. These Rules and Regulations shall be implemented on and from December 1, 2009.


Convener's Programming Guidelines
Version 2.2 dated Nov. 26, 2008

Dear Conveners,

(Notice to submitter)
The first author and all coauthors are required to have been personally registered, before submitting a paper for presentation (abstract), via website of JPGU Meeting. A convener of an academic society having joined the Union lately is particularly requested to make it known to all your members that everybody, coauthors included, in person is required to obtain personal registration before submitting an abstract.

(Programming work via website)
You can leave to somebody else the programming work by means of website of JPGU Meeting. However, please be responsible, as a convener, for a final checkup of the work. Simultaneous access of two or more people cannot be checked at the website. When working with two or more people, please keep in touch with each other, carefully avoiding any confusion.

(Acceptance of abstract)
Please carefully review the contents of the abstract, as a convener. You can reject papers that are judged inappropriate for presentation as exemplified below. Final decision to accept or not to accept a paper will be made at Program Committee. About an abstract that you cannot be sure of acceptance, please consult Program Committee beforehand, to avoid any troubles. Articles are rejected, according to Rules on Submission of Article, in the following cases:
  • the contents of the abstract are found to be greatly different from the purports of the session (it can be moved to another appropriate session, if any, after due consultation between conveners).
  • the contents of the abstract are found to be scientifically inappropriate or poorly formatted as an article for presentation.
  • the contents of the abstract are found to be inappropriate in terms of social ethics, e.g. containing offensive or defaming information about any person, group, etc.


The first author or a speaker will be allowed to apply for oral presentation once and poster presentation once i.e. twice in total for a same session, while there is no restriction in number of submissions e.g. in cases where an academic supervisor submits or makes presentation in place of his/her graduate or undergraduate student about an abstract that the student wrote as the first author. However, one same person should preferably refrain from making so many presentations for a same session, in terms of the fairness in opportunity of presentation.
So far, there have been some occasions where one same person is found to have made a false application in the name of quite another person (as a dummy) for the purpose of getting more time frames for oral presentation. Please check with the author to prevent such submission and reject it, as a convener, on a case-by-case basis. When the convener's check is found to be insufficient, the Chairman of Program Committee may request you to double-check the countermeasure.

(Mode of presentation)
Please determine, as a convener, the mode of presentation for each paper, based on your judgment on whether it is more appropriate for oral presentation or for poster presentation. The presentation mode can be greatly changed at the disposal of a convener, since the choice of oral or poster presentation written in application for presentation represents only his/her wish, even though you are kindly requested to obtain the author's consent, wherever possible, to change the mode of presentation.
Thank you for your understanding also about the limit in number of oral presentations due to restriction of the place. In the oral presentation session, it should be a lecture of 15 minutes in principle about a subject, while no free-style program, panel discussion or the like will be accepted in principle.

(Invited speaker's lecture)
Please note that the session is open to ordinary presenters and due consideration must be given in programming to prevent the number of invited speakers' lectures at each session from exceeding about 20% of total presenters' poster or oral presentations. When more invited speakers' lectures are required to be arranged, please consult Program Committee beforehand.

(To handle a session needing a special care)
Some preparations may be required for security measures, waiting room, etc. e.g. in the case of an invited speaker of politician. Please consult Organizing Board of the JPGU Meeting (gOrganizing Boardh) beforehand to invite such a person. Then, please follow the arrangements by Organizing Board in realization of such a session.
Please be responsible, as a convener, in principle, for serving the guest and bear expenses (e.g. for use of a waiting room) resulting from the special care. This applies also to other cases where any special care is required.

(Order of presentation)
Please respond, as a convener, to any author's wish about the order of presentation, according to your discretion.

(Move to other session)
Submitted papers can be moved to any other appropriate sessions according to a convener's discretion, however, on obtaining the author's prior consent. In this case, please consult the convener of the session of destination beforehand, e.g. about whether there is room for such an additional presentation in terms of time frame, in view of difficulty of rearrangement in time frame of the respective sessions.

(Time frame for presentation)
Please strictly observe the time frame as predetermined by Program Committee (15 minutes, time for questions included). However, some flexibility may be given, allowing for the circumstances of the session, e.g. by shortening one lecturer's time frame by 1 or 2 minutes for the purpose of lengthening an invited speaker's time or assuring a time frame for explanation of the purport or discussion separately. Anyway, please be reasonable in programming, e.g. to prevent any presentation from dragging on over intermission or lunchtime.

(Selection of chairpersons)
Please select a plurality of chairpersons for a session (not required for a session of only poster presentation). Chairpersons can be anybody else but the convener or the presenter but please make sure that they will be present at the JPGU Meeting. Please request them to be chairpersons and obtain their consent, in the capacity of a convener.

(Change to program)
The first author, speaker and the title of presentation cannot be changed in principle. However, in case of change required for unavoidable reason, please contact the meeting secretariat immediately, in the capacity of a convener.

(Determination and approval of sessions)
All session programs are checked by Program Committee, then determined and finally approved by Organizing Board in order to be implemented. Organizing Board may request consultation e.g. about the configuration of programs.

¥ Invited speaker's lecture

Q: Is acceptance of abstract submission for invited speaker's lecture the same as that of regular sessions?

A: The same as that for regular ones.

Q: Can an invited speaker's lecture be arranged during a regular session?
A: An invited speaker's lecture can be arranged during all sessions. However, please note that the number of invited speakers' lectures at each session should be 20% or less of the total number of oral and poster presentations in principle.

Q: Is the abstract submission fee the same for an invited speaker's lecture?
A: Same. No preferential treatment is arranged about submission fee or registration fee (with the exception of Public Presentation Session).

Q: Is there any restriction in number of submissions that one person can make? (e.g. counting out the invited speaker's lecture).
A: You can apply for one oral presentation and one poster presentation i.e. twice in total for a same session (allowing for exceptional measures). There is no restriction in number of applications that one same person can make for a plurality of sessions. Invited speakers' lectures are counted in, just as regular ones are.

Q: Can you distinguish invited speakers' lectures from regular ones?
A: Invited speakers' lectures are marked with "*" before the paper numbers on a program, when printed or displayed, for distinction.

¥ Others

Q: When will the session schedule be fixed?
A: After the deadline of abstract submission, Program Committee will allot time frames to the respective sessions. Conveners will be informed of the schedule in late February. Conveners are requested to make arrangements in later programming.

Q: Can an article for presentation (Abstract) be submitted via English version web system?
A: Possible. In that case, unlike submission via Japanese version website, please fill out the Abstract-submission form with the draft and registration information. You are recommended to submit an article via Japanese version website, when you are going to apply for International Session from Japan.

Q: Is acceptance of abstract submission for Union Session the same as that for regular sessions?
A: The same. There is no preferential treatment about submission fee or registration fee.

Q: What kind of equipment is available on the venue?
A: A liquid crystal projector is ready as standard equipment. To use an OHP, you need to request the use beforehand. No personal computer is ready on the venue. Please arrange, in the capacity of a convener, a personal computer for session presenters to share in common or the respective presenters should bring their own computers (no equipment can be used within the poster presentation hall.
