About the meeting format
Q. There is a hybrid period from May 22 to 27, but what will be done and how?
A.During the hybrid period, there will be oral presentations via Zoom and on-site poster presentations. The oral presentations will be delivered live via Zoom on-site or online (playback or distribution of pre-recorded presentation videos is also possible). Oral presenters and chairpersons are welcome to attend either on-site or online. For on-site poster presentation (optional and no online broadcast), core time will be set. In addition, we are planning to have lectures and an award ceremony.
Q. There will be online poster sessions from May 29 to June 2, but what and how will they be conducted?
A.In the online poster sessions, core time will be set and poster presentations and discussions can be held at your discretion using a video conferencing system such as Zoom breakout room. Please note that all posters are required to be posted online.
About Online Sessions and Events
Q. How are the online oral presentations organized?
A.For oral presentations, we will use Zoom, and you can access Zoom from the presentation program.
Q. How are the online poster presentations organized?
A.You will be requested to upload your poster materials on an online platform (Confit is planned) and display them. The deadline for uploading your materials will be announced later. We also plan to set up an online poster core time, so that participants can discuss via video conferencing system (e.g. Zoom breakout room).
Q. If I make a poster presentation on-site, do I need to make a poster presentation online?
A. YES. All poster presentations must be posted online, regardless of whether they are presented on-site or not. This is so that all presentations can be viewed by the many online-only participants.
Q. What is the core time for the online poster presentation?
A.The core time will be announced as soon as it is decided, but will be set during daytime hours in JST. We plan to use a video conferencing system (e.g. Zoom breakout room) for discussions. You can also use the "comment function" to discuss posters that are posted online. This communication can be done outside of the core time, but we expect a quick response from the presenters during the core time.
Q. Can JpGU provide a "zoom" access during the core time for online poster presentations?
A.Yes, a video conferencing system (such as Zoom breakout room) will be provided.
About On-site Sessions and Events
Q. When will I know if the session will be a hybrid (with a local venue) or fully online?
A. The decision on whether or not to hold the meeting on-site will be made by around March, but there is a possibility that it will be changed to an online meeting after that, based on the overall situation of the new coronavirus infection.
Q. In the oral session, is it OK if all presenters and chairpersons are online?
A. No problem. All the oral sessions will be conducted via Zoom and broadcasted to the local venue, so that participants in the local venue can also participate from there. We are also planning to make the chairperson's moderating available online.
Q. Do I have to be present in-person in the on-site poster session?
A. Not necessarily. Only those who wish to present in-person in the on-site poster session may do so. The on-site registration is necessary in advance if you wish to attend the meeting on-site. Please remember to complete the on-site registration before coming to the venue.
Q. Do conveners have to participate in-person in the on-site poster session?
A. No, it is not necessary for conveners to participate in the poster session, nor is it necessary for them to play a role in the poster session. If you would like to participate in the on-site poster session, you need to register in advance, so please do not forget to do so.
Q. Can the content of the on-site poster and the online poster (or oral presentation) be the same?
A.Yes, the content can be the same.
