Collaborative Session Guidelines
Collaborative Session Guidelines (Ver.2.1 July 31, 2018)
Reequirement for proposal to Joint Session with AOGS has updated. (July 31, 2018).
To propose a session joint with AOGS, follow the additional rules as follows:
-Main convener is an AOGS Member.
-The conveners are from 2 or more different countries.

*There is no such requirements as above for Joint session with AGU and EGU.
Collaborative Session Guidelines
Joint Session with Partner Unions (AGU, AOGS and/ or EGU)
At JpGU, we call co-sponsored sessions with our partner Unions (AGU, EGU and AOGS) a "Joint Session".
Joint Session proposals need to be approved by the co-sponsoring Unions to be designated as Joint Session.
Requirements for Proposals to JpGU
- All session conveners of Joint Sessions must be JpGU ID holders however, regardless of the ID category.
- The session must be proposed as E session.
To propose a session joint with AOGS, follow the additional rules as follows:
-Main convener is an AOGS Member.
-The conveners are from 2 or more different countries.
Proposal Steps
1. Propose a session from the JpGU online session proposal system.
2. Select the coordinating Union(s) from the pulldown menu to let us know your plan for a Joint Session. Please note that this is NOT the formal application.
3. Fill out and submit the formal application form from the Joint Session link in the submission system.
Conveners who are UNABLE to submit the application during the session proposal period may send the form from HERE. Application forms for Joint Sessions must be received by October 12, 2018.
Entry Contents for Application
Please supply the following information to be considered for a Joint Session.
DEADLINE: October 12 at 5:00pm (JST)
*This information will be reviewed by the Partner Unions of your request.
- Contact person (not necessarily a convener but a person who will be able to communicate with the representatives of Partner Unions, if necessary)
- Brief description of why the session should be a Joint Session and how conditions required by each Partner Union are met.
Acceptance/ Rejection as Joint Session
All proposals are reviewed by the counterpart Partner Unions.
The Program Committee will finalize the acceptance based on the result of their approval.
Sessions not approved as a Joint Session will be considered as regular scientific sessions.
Additional convener may be designated by the Partner Unions.
In this case, the additional conveners will not affect the original number of conveners.
Benefits for Joint Sessions
-Not only JpGU but the Partner Union will promote the Joint Sessions to their members.
-The session is defined as a "Joint Session" with the designated Partner Union on the record and Program.
*Please note that the benefits for joint sessions are DIFFERENT to that of 2016 Joint Sessions.
Important Notes
- Please make sure to complete the TWO actions as stated above before the deadline (October 12, 2018); one as part of the session proposal process and one by sending a separate supplementary form.
- JpGU does not provide financial support such as travels to Joint Sessions.
- Joint Session proposals will be treated equally as other session proposals in organizing the Program such as the number of assigned time slots and scheduling.
Co-Sponsored Session with JpGU Society Members
Sessions co-sponsored or co-organized with our society members are determined as "Co-sponsored Sessions" at JpGU Meetings.
Requirements for Proposals
-Co-sponsored sessions must follow the guidelines/ regulations of the co-sponsoring society, if any. JpGU does not require a certain condition.
Proposal Steps
Conveners must
(1) propose a session from the JpGU session proposal system and (2) contact the representatives of the society members regarding their request during the session proposal period.
After the session proposal period is over, JpGU will receive a list of Co-sponsored session from each society members.
Only sessions listed there will be considered and promoted as Co-sponsored sessions.
JpGU does not accept nor approve direct requests from the conveners.
All communication regarding co-sponsored sessions must be done directly between the conveners and the representatives of each society.

Benefits for Co-sponsoring Sessions
-The session will be listed as a Co-sponsored session together with the name of the co-sponsoring society on the JpGU website.

-The representatives of each society are listed in the Organization page.
