Union Session Guidelines

Union session should focus on topics with a broad interest that are outside of a single section.
Conveners must express their will when proposing a session to be approved as a Union session.
Union sessions are approved by the Program Committee. Sessions not approved as Union session will be considered as general scientific sessions.

Requirements for Proposals

- Union session should cover more than two(2) fields of geoscience.
- Union session should focus on topics that a high number of audience can be expected.
- Conveners must select Multidisciplinary and Interdisciplinary (M)category to propose a Union session.

Proposal Steps

1. Propose a session from the JpGU online session proposal system.
2. Select ‘Union Session’ from the pulldown when you are asked if you will apply to hold a session as Union or Public session.
3. Enter all other required information and complete your proposal.

Requirements to Hold a Union Session

- Oral presentation should be no longer than two time slots.
- Invited authors are not exempt for all fee and procedures associated with the abstract submission and registration.
- The abstract submission deadline for union sessions is no different from that of other submissions. This deadline is not extendable in any reason.

Benefits for Union Sessions

- Conveners can receive max. 2 slots regardless of the number of submitted abstracts.
- There is no limitation in the number of invited authors.
- Conveners can decide to whom they will open the abstract submission.
- Union session can be an oral-only session.
- JpGU will advertise the session in the publications and on the website.

Important Reminders

- One time slot is 90 minutes and this timeframe CANNOT be changed.
- Conveners can select a session language when proposing a session.
- No travel reimbursements, waived or discount for abstract submission and registration fee are provided to invited authors from JpGU.
- All submitters including invited authors must complete the abstract submission and its payment before the submission deadline. Submissions without payments will be withdrawn.
- Conveners can make and distribute session posters and brochures at the site, but JpGU does not intermediate or volunteer to help any of individual advertising activities.
- Session introductions and/ or pictures of conveners may be asked to be published in JGL and/ or other publications.

Presenters of the Session

Conveners of Union sessions may decide to whom they will open the submission of their sessions.

The option is as follows;
1. Submissions will not be open to all but only to invited authors.
2. Submission for oral presentation will only be accepted by invited authors but submission for posters to all.
3. Submissions are accepted from anyone.
*JpGU will contact you for this option after the adoption by Program Committee.

Public Session Guidelines

Public Sessions provide all participants with beneficial topics such as results from research on the geoscience fields, educational outreach activities etc.
It is an easy-to-understand session welcoming anyone including public attendees.
Attendees and presenters of Public Sessions can attend the session for free.
Invited authors of Public Session are exempt for abstract submission fee.
Request to hold a Public Session is accepted when conveners propose a session and is approved by Program Committee. Sessions not approved as Public sessions will be considered as regular scientific sessions.

Requirements for Proposals

- Public sessions should focus on topics that are beneficial and easy-to-understand to all attendees including junior and high school students and public attendees.
- Public sessions should have contents relevant to educational outreach activities.

Proposal Steps

1. Propose a session from the JpGU online session proposal system.
2. Select ‘Public Session’ from the pulldown when you are asked if you will apply to hold a session as Union or Public session.
3. Enter all other required information and complete your proposal.

Requirements to Hold a Session

- Public Sessions must be held on the Public Day (on Sunday).
- Public sessions are expected to be presented in Japanese since most of the audience is Japanese-speaking attendees. However, JpGU Office may be able to provide a support and assistance to non-Japanese speaking convener/ speaker. Please contact us for details or if you are planning to present in English.
- All authors including invited authors should submit their abstracts using the online submission system.
- The abstract submission deadline is on the same date as normal abstract submission. It is NOT extendable. (Except for session of high school student authors)

Benefits for Public Sessions

- Public sessions can receive slots regardless of the number of submitted abstracts. Slots are assigned by the Program Committee.
- The abstract submission fee and registration fee for the date of presentation of invited authors is free of charge.
- There is no limit in the number of invited authors.
- Conveners can decide to whom they will open the abstract submission.
- Public session can be an oral-only session.
- JpGU will promote the session in the publications and on the website.

Important Reminders

Session introductions and/ or pictures of conveners may be asked to promote a session in JGL and/ or other publications.
All public attendees are required either of the pre-registration from the JpGU Public Participation Registration system or on-site registration in order to attend Public sessions.
Please contact JpGU if you need any assistance.
Conveners can make and distribute session posters and brochures at the site.
JpGU office may help posting the promotion materials if they are delivered to JpGU office prior to the meeting. Please also let JpGU Office know about your request in advance.
